A poorly managed waiting list costs you players — and revenue. When players don't know where they stand, they leave. When seating is slow, they go somewhere else. Here are five practices that fix that.
1. Go digital
Paper lists create confusion. Players can't see their position. Staff can't process quickly. A digital waiting list lets players join from their phone and see real-time updates — reducing front-desk questions and walk-aways.
2. Show position and estimated wait
Uncertainty drives abandonment. When players can see they're #3 in line with a 12-minute estimated wait, they're far more likely to stay than if they have no idea.
3. Send push notifications
Don't make players hover around the desk. Send a push notification when their seat is ready. They can grab food, play a slot, or relax — and come back when called.
4. Track and measure
You can't improve what you don't measure. Track median wait time, P90 wait time (the slowest 10%), and abandonment rate. These KPIs tell you when you need more tables or faster seating.
5. Keep it fair and transparent
Every queue position should be timestamped and logged. No cutting, no favoritism. A transparent, auditable waiting list builds trust and keeps players coming back.
